Information We Collect
We collect information that you provide directly to us to facilitate your stay. We do not collect information beyond what is necessary to process your reservation and deliver a quality guest experience.
Reservation & Booking Information
To reserve a stay, you must provide personal details including your full name, billing address, phone number, and email address. We also collect credit card or payment information, which is processed exclusively through a secure, PCI-compliant third-party payment processor (such as Stripe or the processor used by Booked Directly). We do not store your full credit card number on our servers.
Guest Preferences
We may collect information regarding your stay preferences, special requests, dietary needs, or occasion details (e.g., anniversary, birthday) to provide a more personalized experience. This information is provided voluntarily and is not required.
Email & Communication
We collect your email address for transactional communications (booking confirmations, check-in instructions, house guide delivery) and, where you have explicitly opted in, for marketing updates or newsletters via MailerLite or a similar email service provider.
Mobile Services (SMS)
If you provide your mobile number during the booking process, you consent to receive informational text messages related to your reservation (check-in codes, arrival instructions, maintenance alerts). We may also send promotional messages regarding special offers or availability if you have opted in. You may opt out of SMS communications at any time by replying "STOP." Standard message and data rates may apply.
Surveillance Footage
As disclosed in our Terms & Conditions (Section 15), exterior security cameras are in operation at both properties. Footage is collected automatically and does not capture audio. No interior cameras are present at either property.

Like most modern websites, we use cookies and similar tracking technologies to enhance your experience on our Site.
Essential Cookies
These are required for the Site to function properly. They maintain your booking session, remember your preferences, and ensure security. These cannot be disabled without affecting Site functionality.

Fulfilling Reservations
Processing your payment, confirming your booking, and coordinating the details of your stay.
Communication
Sending essential pre-arrival information (check-in instructions, house guide, local recommendations), responding to your inquiries, and providing support before, during, and after your stay.
Property Management
Sharing necessary check-in details (name, arrival date, guest count) with our property management and cleaning partners (e.g., Turno, Uplisting, or similar platforms) to ensure the property is prepared for your arrival. These partners receive only the minimum information required to perform their services.
Marketing & Newsletters
If you have opted in, sending quarterly newsletters with availability updates, seasonal offers, and local guides via MailerLite or a similar email platform. You can unsubscribe at any time.
Improvement
Using anonymized, aggregated data from analytics tools to improve our Site design, content, and booking experience.
Legal Compliance
Disclosing information when required by law, such as in response to a subpoena, court order, or government request, or to protect our rights, property, or the safety of our guests.

Information Sharing & Disclosure
We share your personal information only in the following limited circumstances:
Service Providers
We work with trusted third-party providers who assist in operating our business — payment processors, property management platforms, cleaning services, email marketing tools, and analytics providers. These partners are contractually obligated to use your data only for the specific services they provide to us and to maintain appropriate security measures.
Booking Platforms
If you book through a third-party platform (Airbnb, VRBO), that platform's own privacy policy governs the data they collect. We receive only the information necessary to fulfill your reservation.
Legal Obligations
We may disclose your information if required to do so by law, or if we believe in good faith that disclosure is necessary to comply with legal process, enforce our Terms & Conditions, or protect the rights, property, or safety of Window Rock Modern, our guests, or the public.
Business Transfer
In the event of a sale, merger, or transfer of our business assets, your personal information may be transferred as part of the transaction. We will notify you of any such change in ownership or control of your personal information.

Data Security
We implement reasonable physical, administrative, and technical safeguards to protect your personal information. These include SSL/TLS encryption on all Site pages, PCI-compliant payment processing through third-party providers, and restricted access to personal data among our team.
While we strive to use commercially acceptable means to protect your data, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security, and you provide your information at your own risk.

Data Retention
We retain your personal information for as long as necessary to fulfill the purposes described in this policy, including maintaining your booking history for potential return stays, honoring loyalty offers, and complying with legal and accounting obligations.
Reservation Data
Booking records (name, dates, contact information) are retained for up to 3 years after your last stay for accounting, tax, and legal compliance purposes.
Marketing Data
If you are subscribed to our email list, your email address is retained until you unsubscribe. Upon unsubscription, your email is removed from active marketing lists within 30 days.
Surveillance Footage
Exterior camera footage is retained for a maximum of 30 days and is overwritten automatically unless preserved in connection with a specific security or damage incident.

Our Site may contain links to third-party websites, including local area attractions, maps, partner services (such as Mountain Mobile Massage), and social media platforms. We are not responsible for the privacy practices, content, or security of these external sites.

Access & Correction
You may request access to the personal information we hold about you at any time. If your information is inaccurate or incomplete, you may request a correction by contacting us directly.
Marketing Opt-Out
You may unsubscribe from marketing emails at any time by clicking the "Unsubscribe" link at the bottom of any email, or by contacting us directly. Transactional emails related to an active booking (confirmation, check-in instructions) are not subject to opt-out.
SMS Opt-Out
Reply "STOP" to any text message to immediately cease all SMS communications.
Data Deletion
Upon written request, we will delete your personal information from our active databases within 30 days, unless we are required to retain it for legal, tax, or accounting purposes. To request deletion, email timandleah@thewindowrock.com with the subject line "Data Deletion Request."
Do Not Track
Our Site does not currently respond to "Do Not Track" browser signals. However, you may manage cookies and tracking preferences through your browser settings as described in Section 02.

Children's Privacy
Our Site and services are not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. The primary guest on all reservations must be at least 25 years of age. If we become aware that we have inadvertently collected personal information from a minor, we will take steps to delete that information promptly.

We may update this Privacy Policy periodically to reflect changes in our practices, technology, legal requirements, or for other operational reasons. When we make changes, we will update the "Last Updated" date at the top of this page.
